College Duty Rules, Regulations and Procedures
2000
Basic hours and round times:
1. Duty begins promptly at 7:00pm Monday Friday
nights. Saturdays and Sundays are all day duties from 8:30am until 8:30am
the following day.
2. RAs will be in the College Office EVERY night
from 7:00pm 11:00pm.
(Yes, weekends too!)
3. The RA will not leave the College Office until
11:00pm.
4. Three rounds must be conducted during the
course of the night at approximately 7:00pm, 9:30pm and midnight. More
rounds may be done on busy nights at the request of the RHD or QD.
Upon entering the College Office:
1. Unforward the College Office Phone (##91)
2. All RAs must call the RHD to say that they
are on duty and are in the office.
3. Start new duty sheet for the night.
4. Put your name sign in the door and start your
first round (approximately 7:15pm)
Rounds:
1. Take the duty sheet out of the binder and place
it on your clipboard. Make sure you have a pen to write with and then start
your round.
2. Place sign on door that you are on rounds
and will return in approximately 15 minutes.
3. You should vary your starting point for rounds
(C2, A3, B3 etc.)
4. Make sure to include all areas of the building
in your tour including common areas, kitchens, the laundry room and A0.
5. During one round each night, check the status
of fire extinguishers.
6. Make contact with students along the way
especially those who are sitting in their rooms alone.
7. Document all things in the duty log.
While in the College Office:
1. Write work orders for things that you saw on
your rounds and report all emergencies to your RHD.
2. Check the duty RA task box to see if there
is anything in it, if so, complete the task.
3. Straighten up the office.
4. Work on functional assignment create programs,
promote events and etc.
5. Plan programs for your floor, building or
diversity month.
Visitation rules:
1. There are to be no visitors in the college
office for more than 5 minutes at any time.
2. No study groups or programs will be held/sponsored
while you are on duty.
3. All activities must stop when a student comes
in or calls they are the first priority.
4. It is strongly suggested that you do not host
overnight visitors while on duty. If you choose to do so, NEVER:
? Let them answer the phone in your room once
you have forwarded it from the College Office.
? Answer your door.
? Hinder you from responding to any students
or situation.
? Accompany you on rounds or with handling situations.
? Sit in the College Office with you for more
than 5 minutes the entire night.
? Tie up the phone by calling them or them calling
you a thousand times.
5. You must spend the night in your own room
on duty nights. Residents
need to be able to come to your door if need
be.
6. You need to be IN Irving College for the entire
duty night .
7. Phones may not be forwarded after 11:00pm
to a friends room so you can hang out with them.
Emergency Situations:
1. When an incident happens, survey the situation
and then:
? Call your RHD or Public Safety @ x 333 (if
it is an extreme emergency)
? Call the Public safety @ x 333 and have them
page the RHD on duty.
? Wait for the responding parties at a specified
location.
? Proceed with normal procedures as to ICF writing
and etc.
2. Ensure safety of all parties, but DO NOT endanger
yourself. There will be no dead heroes in Irving.
3. Notify your RA by phone or voice mail of the
situation if they were not present.
Fire Alarm Procedures:
When an alarm goes off:
1. Put on your clothes, shoes and coats (if necessary).
2. Grab your master access keys, room keys and
access cards.
3. Go to the College Office and get assigned
a position to monitor.
4. If you are the first person to arrive - YOU
call the shots, including writing up the fire alarm on an ICF.
5. You MUST respond to all alarms if you are
in the building. Failure to respond will result in disciplinary action.
Lock outs:
1. LOCK OUTS ARE NOT EMERGENCIES!!!!!!!
2. Make sure to log down all lockouts in the
Duty Log.
Recreation Room:
1. The key for the Rec Room is kept in the College
Office. If a student asks to use the room, unlock it for them. DO NOT GIVE
THEM THE KEY TO UNLOCK IT THEMSELVES!
2. Pool equipment can be given out, but only
if the student leaves their USB ID with us until the equipment is returned.
3. No private parties may be held in the Rec
Room.
Main Lounge:
1. The Irving Main lounge is used exclusively
for programming, not to hang out in.
2. The lounge will remain locked at all times
unless a pre-approved event is scheduled.
3. There will be a binder in the College Office
so that the lounge can be reserved or so you can verify that the event
has been approved.
4. Unlock the lounge for the event and make sure
to lock the door after the event takes place.
Duty Switch Procedures:
1. All duty switches must be recorded on an official
Irving College Duty Switch Form.
2. You will be notified by the RHD if the switch
is approved or not.
3. Any RA failing to uphold their end of the
duty switch will be held responsible for their actions.
4. Weekdays must be switched with weekdays and
weekend days with weekend days.
